Who we are

• Tribes Academy is the teacher-training school of Tribes Dance and Yoga. We are the controller of the personal data described in this policy.

What we collect

• When you create an account or book a training Name, email address, phone number, and your booking history.

• When you pay Payment details: handled by Wix when you pay online, or your name and bank account number when you pay by bank transfer after we send you an invoice.

• When you apply or register for a training Your answers on the application or intake form, such as your movement and teaching background.

• When you tell us about your health Injuries, health conditions or pregnancy that you choose to share with us or your trainers, so they can adapt the practice for you. We only record this with your explicit consent.

• During the training Attendance, assessment results and the details on your certificate.

• When you fill in an evaluation Your feedback on the training and the trainers.

• When you subscribe to our newsletter Your email address, and the topics you told us you are interested in.

• When you contact us or make a complaint Whatever you choose to include in your message.

• When you use our website Functional cookies that make the site and the booking system work, and Wix's own analytics, which tells us how the site is used.

Why we collect it, and on what basis

• Managing your registration and the training Because we need it to provide what you signed up for. Legal basis: performance of a contract.

• Taking payment Same reason. Legal basis: performance of a contract.

• Assessing you and issuing your certificate Legal basis: performance of a contract.

• Adapting the practice to your health Legal basis: your explicit consent.

• Telling you about changes to your training So you are never left waiting for a session that moved. Legal basis: legitimate interest.

• Evaluations and handling complaints To improve our trainings and to meet the quality requirements of CRKBO, the register for vocational training. Legal basis: legitimate interest.

• Sending our newsletter Legal basis: your consent.

• Publishing photos, video and quotes Legal basis: your consent.

• Keeping financial records Legal basis: legal obligation.

Where we rely on consent, you can withdraw it at any time.

Who we share it with

We do not sell your data. We share it only with the services we need to run Tribes Academy:

• Wix our website, booking system, accounts, content management, online payments and our newsletter through Wix Email Marketing. Wix also provides our site analytics.

• Our bank for payments by bank transfer.

• Yoga Alliance only at your request, for example to confirm your training when you register with them.

• CRKBO's auditor may see our records (such as evaluations and complaints) during a quality audit, under a duty of confidentiality.

• Our accountant, and the Belastingdienst where legally required for financial records.

Each of these processes data on our instructions, under an agreement requiring them to protect it, except Yoga Alliance and CRKBO, who receive data only when needed for your registration or our quality audit.

Everything you tell us or your trainers is confidential within our team: trainers and staff only use it for your training.

Photos, video and quotes

• We photograph and film during trainings and use these images on our website, in our newsletter and on social media. We sometimes publish what graduates write about a training.

• We publish recognisable images, and quotes with your name, only with your consent. You can withdraw that consent at any time, and we will remove them.

• If you would rather not appear, tell the trainer or photographer at the time, or email academy@yourtribes.nl.

How long we keep it

• Account and booking data While your account is active, and for 5 years after your last booking.

• Attendance, assessment and certificate records 7 years after the training, so we can confirm your training if you need proof later.

• Health information Until the end of the training, then deleted.

• Complaints and how we handled them 2 years, as CRKBO requires.

• Evaluations Kept without your name once processed.

• Financial records, including payment details Seven years, as Dutch tax law requires.

• Newsletter subscription Until you unsubscribe.

• Photos, video and quotes Until you withdraw consent, or ask us to remove them.

• Messages you send us 5 years.

Your rights

You have the right to:

• see the personal data we hold about you

• have it corrected if it is wrong

• have it deleted, where we are not legally required to keep it

• restrict or object to how we use it

• receive your data in a portable format

• withdraw consent where we rely on it

Email academy@yourtribes.nl and we will respond within one month.

If you are not happy with how we have handled your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, at autoriteitpersoonsgegevens.nl.

Cookies

• We use functional cookies that are necessary for the site and the booking system to work, and Wix's analytics cookies, which tell us how the site is used.

• You can manage cookies in your browser settings, though disabling functional cookies may stop parts of the site working.
