1. Who we are

In these terms, "Tribes Academy", "we" and "us" mean Tribes Dance and Yoga. "You" means the person who registers for a training. "Training" means any teacher training, module, immersive or retreat on tribesacademy.nl.

These terms apply to every registration. You accept them when you register, and we link to them in your booking confirmation. You can download or print them from this page. Where a training page says something different, the training page applies.

Duration of the agreement. The agreement runs from the moment your registration is accepted until the last day of the training, including any assessment, retake and certification.

Tribes Academy is registered with CRKBO (Centraal Register Kort Beroepsonderwijs). Our vocational trainings are therefore exempt from VAT; the training page says whether a price includes VAT.
2. Registering and paying
The training page lists the fee and what it includes. Manuals and study materials are included in the fee unless the page says otherwise (for example a book you buy yourself). You pay online at checkout, or by bank transfer after we send you an invoice.
Your place is confirmed once you have paid the deposit or the full fee.

Trainings under €500: you pay the full fee when you register.

Trainings of €500 or more: you pay a deposit when you register (the amount is on the training page) and the rest before the training starts.

Paying in instalments: for trainings with a deposit, up to 3 instalments on request by email to academy@yourtribes.nl, with a 5% administration fee. The last instalment is due before the training starts.

Some trainings require an application. We may decline an application; if we do, you get everything you paid back.
If a payment is late, we send you a reminder and give you 14 days to pay. Only after that may we charge statutory collection costs.
3. Your 14-day right to change your mind

If you register as a private person, you can cancel without giving a reason within 14 days of your booking confirmation. You get back everything you paid, including the deposit, within 14 days.

To cancel, email academy@yourtribes.nl or use the model withdrawal form below. If you asked us to start the training within those 14 days and it has started, you pay for the part that has already taken place.

This also applies if your employer pays for you but you register yourself. If your employer or company registers and contracts with us directly, there is no 14-day period.
4. Cancelling after the 14 days
After the 14-day period you can still cancel. Email academy@yourtribes.nl; an email is enough.
Trainings with a deposit (200h, Pilates Mat, immersives)

More than 3 months before the start: we refund everything except the deposit.

Between 3 months and 1 month before the start: we refund 50% of the training fee.

Between 1 month and 2 weeks before the start: we refund 25% of the training fee.

Less than 2 weeks before the start, or once the training has started: no refund.
Trainings paid in full (25h trainings and modules)

More than 1 month before the start: we refund the fee minus €50 administration costs.

Between 1 month and 2 weeks before the start: we refund 50% of the fee.

Less than 2 weeks before the start, or once the training has started: no refund.
We pay refunds within 14 days of your cancellation.
Instead of cancelling, you can always choose one of the options in section 5.
5. Transfer or send someone else

Move to a later edition of the same training: €75, once, if there is a place.

Send someone in your place: free, if they meet the entry requirements and register before the start. Let us know by email.

Illness, an accident, pregnancy or a death in the family? Email us. We look for a fair solution together, such as a transfer at no cost or a partial refund.
6. If we cancel or change a training

If too few people register, or something outside our control happens, we may cancel or postpone a training. You then choose: a full refund of everything you paid, or a place in a later edition.

We may change trainers, rooms or the order of topics. If we change something essential (dates, location, the main trainer or the content), you may cancel and get a full refund.

We don't reimburse travel, flights or accommodation you booked yourself.
7. Attendance and certificate

Be on time, also after breaks. Tell us in advance if you will miss part of the training. You can make up missed hours in agreement with the trainers; make-up sessions may cost extra; we agree the price with you beforehand.

You receive your certificate when you have attended all hours (or made them up), passed the assessment and paid the full fee. If you don't pass, you can retake the assessment; we agree the moment and any costs with you beforehand. Registering with Yoga Alliance is your own step, after you receive the certificate.

At the end of each training we ask you to evaluate the training and the trainers. We use your answers to improve the next edition.
8. Health and safety

Our trainings are physical and sometimes emotionally intense. Tell your trainers about injuries, health conditions or pregnancy, and listen to your body. Stop and tell us if something doesn't feel right.

We are liable for damage caused by our own fault. Our liability is limited to the fee of the training. This limit does not apply to damage caused on purpose or through gross negligence.

For retreats and immersives abroad, you arrange your own travel and cancellation insurance.
9. Manuals, recordings and photos

Manuals and handouts are for your own use. Please don't copy, share or sell them. You may not film or record sessions without permission.

We sometimes take photos or video during trainings. We only publish recognisable images of you with your consent, and you can withdraw it at any time.
10. Code of conduct
Our trainings are a place to learn, try and make mistakes. That only works when everyone feels safe. This code applies to trainees, trainers and assistants, during the training and in group chats.

Respect. Everyone is welcome, whatever their age, gender, background, beliefs, body or ability. Treat each other with care and honesty.

No harassment. Discrimination, intimidation, bullying, unwanted touch or sexual attention are not accepted, in words, images or actions.

Professional relationships. Trainers know there is a power difference between teacher and trainee and never use it for personal benefit.

Confidentiality. What others share about themselves in the training stays in the training.

Scope of practice. Trainers and trainees don't give medical advice or diagnoses, and refer to a doctor or health professional when needed.

Show up. Be on time, take part, and tell us when something stops you from doing so.
If someone breaks this code, we talk with them first. For serious or repeated misconduct we may remove someone from the training; in that case there is no refund.
If something happens that you want to talk about in confidence, contact Willemieke Verweij, our confidential contact, at willemieke@yourtribes.nl, or academy@yourtribes.nl. Nobody will be treated differently for reporting something, or for helping us look into it.
11. Complaints

Email your complaint to academy@yourtribes.nl. We confirm within 5 working days and aim to solve it within 4 weeks; if we need longer, we tell you why. Complaints are handled confidentially and kept for 2 years.

If you are not satisfied with our answer, you can submit your complaint to Yoga Alliance as an independent third party. Their decision is binding for Tribes Academy. This does not take away your right to go to a Dutch court.

We register every complaint and how it was handled, and keep these records for 2 years.
12. Privacy

Everything you tell us or our trainers, during registration or the training, is treated as confidential by our team and trainers.

We handle your personal data as described in our privacy policy. For trainings this includes your application, the health information you choose to share with your trainers (only with your consent), your attendance and assessment results, and your certificate details.
13. Changes and applicable law

We may update these terms. The version that applies is the one you agreed to when you registered. Dutch law applies.
